Personal information is recorded securely and used only to contact individuals and match them with a therapist. Only minimal information is shared with the matched therapist, and all therapy information remains confidential.
b) Personal Information Provided by Therapists
Therapist information is logged securely and used for application vetting and verification. Information is safeguarded carefully and shared internally only where necessary.
c) Website Visitors and Social Media
We use Google Analytics to collect anonymous visitor data and cookies to improve website functionality. Form submissions are stored temporarily before being securely transmitted.
HOPE Guardians operates on social media platforms such as Facebook and Instagram, which are governed by their own privacy policies.
What We Use Information For
We collect personal information to provide services, match clients with therapists, verify credentials, meet regulatory and safeguarding obligations, and protect systems and operations.
Financial and regulatory records are retained for six years. We do not share data for third-party marketing without consent.
Sharing Your Information
Personal information may be shared where consent is given, required by law, necessary for safeguarding, or for legitimate organisational purposes.
d) Enquiries and Complaints
General enquiries are retained for up to one year. Complaint records are retained for six years.
e) Job Applicants, Staff and Former Staff
Recruitment data is used only for hiring purposes. Employee records are retained during employment and for six years afterwards. Third-party processors operate under strict agreements.
Volunteers
Only essential information is collected and retained for the duration of volunteering unless legally required otherwise.
f) Bulk Emails
We use Mailchimp for opt-in communications. You may unsubscribe at any time.
